Top Tech Tools I Use to Keep My Business Humming

I’m sharing the tech tools I actually use to keep things running smoothly, simply, and without unnecessary fuss. These are the tools that help me stay organized, serve clients well, and keep my business feeling light instead of heavy.

This list is in alphabetical order, not because I love rules, but because it keeps things easy-breezy.

Calendly: Online Scheduling

If you’ve ever booked time with me, you’ve already experienced how simple Calendly is.

No back-and-forth emails. No “Does Tuesday at 2 work?” spiral. I set my availability once, and Calendly handles the rest.

Every way someone works with me starts here. Free consult calls. Done-for-You Website Week. Paid coaching sessions. Clients choose a time, complete payment if required, and get everything they need automatically.

What I really love is how well Calendly supports my workflow automations. After a project wraps, it triggers follow-ups so I can collect feedback and testimonials without chasing anyone down. That kind of behind-the-scenes support matters.

Canva Pro: Graphic Design Tool

Using Canva Pro is like having a graphic designer on standby.

Yes, I love Adobe. But the biggest reason I use Canva is because I can hand designs off to my clients and they can actually use them.

I use Canva Pro to create:

  • Blog cover images for my website

  • Templates and visual assets for client projects

  • Downloads, graphics, and simple brand elements

Canva makes it easy to create polished visuals quickly, and even better, it empowers clients to reuse and update designs long after our work together is done.

Google

Anyone who knows me knows I love free tools that actually work.

Google makes collaboration easy and stress-free. Docs and Sheets let my clients and me work together in real time. Drive keeps files organized and accessible without friction.

Keeper: Secure Password Management

This one came from a moment of pure frustration.

Years ago, I was at the airport, ready to leave for vacation, and couldn’t access my Apple account because I didn’t have my password. That was the end of my spreadsheet era.

Keeper securely stores passwords so I can access what I need from anywhere, without stress. I did A LOT of research to find a manager that was safe and secure.

I love that this allows less things to hold in my head.

Kit: Email Marketing Service

I’ve used a lot of email platforms over the years, and Kit is my favorite.

When I started using them, I was newer to my business so I used their free plan. It was a nice way to stay simple until I was ready to scale.

I like that they have free landing pages and forms and products so you can start making money right away!

The automations are powerful. I don’t need to wrestle to get things set up properly.

I’ve also gotten a surprising number of leads through Kit’s free Creator Profile, which is a huge bonus.

Their support is great - they’re always patient answering my questions.

Membership.io: Membership, Course, and Video Content Tool

Membership.io is a powerful yet easy-to-use platform for hosting courses, memberships, and video libraries.

Clients can search content by keyword, watch curated playlists, connect through community and access resources without people feeling overwhelmed.

The thing that makes Membership.io stand out is that you can create a custom user journey and really make a unique space that screams “you”.

I love helping entrepreneurs use Membership.io to create clear, organized hubs for their content so their audience actually uses what they’ve built.

QuickBooks: Accounting Tools

I’ll be honest. This one isn’t my favorite.

But it works, and it keeps my books organized. My hubby handles a lot of our accounting and is a longtime QuickBooks user, so here we are.

My business professors would love that I use their reports - I love me a good P&L.

So, it’s all functional, even if it’s not particularly fun.

Squarespace: Website Platform

Squarespace is my go-to website platform.

I love how easy it is to use and how visual the platform is. They’re constantly rolling out new features and improvements, which means your site can evolve without needing a rebuild every year.

When I first started my business, I built websites on WordPress. Over time, I noticed a pattern. Clients couldn’t easily maintain their own sites, and keeping everything secure required a pile of plugins.

More than once, a client came to me with a broken or hacked site. No bueno.

Squarespace solved that problem. Hosting, security, updates, blogging, pages, and basic ecommerce all live under one roof. No plugins to manage. No security patches to chase. It just works.

I’m also a Squarespace Circle developer, which means my clients receive:

  • Extended trial periods while we build

  • Special discounts on their plans

  • Higher level support

That’s one of my favorite perks to pass along.

Stripe: Online Payments

Stripe integrates smoothly with just about everything I use.

It handles payments reliably, securely, and without drama. I like that I can set up subscriptions for recurring clients.

If you’re accepting payments online, Stripe is a solid choice.

ThriveCart: Checkout and Payments

ThriveCart makes it easy for people to say yes.

It creates clean, conversion-friendly checkout experiences and supports things like order bumps, subscriptions, and flexible payment options.

From a client experience standpoint, it removes friction. And less friction means fewer abandoned carts.

Zoom Pro

Zoom makes it possible to work with clients anywhere in the world.

I use the Pro version so I can record sessions and host longer meetings without interruption. The desktop app, especially, has become a favorite.
